PDF/A
As the first North American business solutions firm to join the PDF/A Competence Center, CrawfordTech recognizes the growing importance for its clients around the world to develop and implement a long-term archiving strategy. For instance, in the USA, the National Archive and Records Administration (NARA) has estimated that there are over 36.5 billion federal government emails that are each candidates for archiving. Within forward-thinking government and industry organizations, there are initiatives afoot to establish and execute upon long-term document archiving strategies. Those strategies, by necessity, need to account for a dizzying array of networks, systems, delivery platforms and user limitations.
The PDF/A format has become a standard for archiving and presenting digital documents. The standards for the PDF/A format are managed by a joint initiative of NPES (National Printing Equipment Association) and AIIM (the Association for Information and Image Management International). The working group consists of representatives of the technology industry, government agencies, and private sector companies. They are addressing the growing need to electronically archive documents so that they can they be retrieved and presented consistently and predictably into the foreseeable future.
CrawfordTech is keenly aware though that while PDF/A is a key component in a long-term archiving strategy, it only specifies the document format. A complete strategy must also involve an archive system and the accompanying processes. A successful archive system design and implementation must consider corporate processes and procedures. It also requires detailed knowledge the candidates for archive. Sound execution upon a long-term archiving strategy therefore depends on developing a complete catalogue of legacy data and documents and taking into account both current and, in as far as possible, future production processes.
