Create Transaction Document Accessible PDFs with Remediation Tools – Part 2

Many document industry colleagues have asked me, “What is the best way to create high volume, Accessible PDFs of my invoice, statement, or documents that will allow our organization to be compliant with accessibility laws and regulations?

Is it better to remediate using a composition tool or is it better to remediate post composition using a transform solution like Crawford Technologies Inc. PRO Transform Plus PDF/UA?

 

In part 1 of this series, I discussed the benefits of how to remediate using composition tools. In this article I will explain the benefits of Post Composition Tools and how to decide between the two.

Post Composition Tools

a) As noted, many archives simply store low overhead AFP resources. As files are pulled from the archive for reprinting or ePresentment, AFP is converted into PDF for viewing. Why not simply convert them using a template into Accessible PDF on the fly coming out of the archive? There is no need to store Accessible PDFs and disrupt your existing presentment workflow and increase your storage foot print.

b) Post composition transform tools allow you to deal with past archived documents by simply setting up a template

c) Changes to the WCAG or PDF/UA or even new Section 508 NPRM can be included in one template such that when a document in a print description language is sent through the transform, your changes at the template level are made global across that document type

d) A person tagging documents does not need training in programming or understand how a composition tool works. Creating templates are arguably less expensive from a labor resourcing perspective

e) With a post composition tool solution a template is created, this template can be used to output other formats as we transform the accessible PDF into alternate formats such as Braille, Large Print/Large Font, eText, Audio, 2D Barcode. This allows a company to meet their accommodation requests while reducing individual alternate format set up costs.

Whatever you choose, here is what we can tell you:

a) Set up and tagging can be deemed equal in level of effort either during composition or post composition. Labor costs differ.

b) Composition Tool remediation is a good strategy if you know that your documents are from this point forward and you are not concerned about changes in accessibility standards or composition tool revisions or document requests from the archive

c) Post Composition Remediation offers remediation on the fly and you can maintain your existing workflow and what format(s) you have chosen to store your documents in your archive or ECM.

d) Clients ask us if our tool can help fix short falls of a composition tools remediation and the answer is yes

Whatever you choose, making it accessible will save you regulatory fines and make your blind, partially sighted or those with cognitive disabilities happy and committed to you.
